This policy explains how Warrior Combat Gym CIC ("we", "us", "the gym") collects, uses and protects your personal information when you enquire, train, or use our website. We are the data controller for the information you give us, and we handle it in line with UK GDPR and the Data Protection Act 2018.

The information we collect

  • Enquiries & trial bookings — your name, email, phone number, the programme you're interested in, your marketing-contact preference, and your acceptance of our training waiver.
  • Membership & registration — your name, date of birth, contact and address details, emergency contact, any health or medical information you choose to share that's relevant to training safely, your chosen payment method, and your signed waiver.
  • Children (juniors) — for members under 16 we collect the child's details together with the parent/guardian's details and consent. We only collect a child's information with a parent or guardian's involvement.
  • Payments — if you pay by card, payment is processed securely by Stripe; we do not see or store your full card number. If you pay by bank transfer / standing order, you set this up directly with your own bank.
  • Communications — a record of the SMS, WhatsApp and email messages we send you (and your replies, e.g. an opt-out).
  • Website usage — with your consent (via our cookie banner) we use Google Analytics, which collects anonymised usage data such as pages visited, approximate location, and device/browser type, using cookies. See "Cookies & analytics" below.

How we use your information, and our lawful basis

  • To run your membership and deliver classes — basis: performance of our contract with you.
  • To respond to your enquiry or trial booking and arrange your first session — basis: your consent and/or our legitimate interest in responding to you.
  • To keep you safe (waiver, emergency contact, relevant health information) — basis: legitimate interest and, where needed, protecting your vital interests. Health information is special-category data, handled only where you've provided it for your safety while training.
  • Marketing — to send you offers and updates by SMS, WhatsApp or email, only where you've given consent. You can opt out at any time (see below) — basis: consent.
  • Taking payment — basis: performance of our contract.
  • Website analytics — basis: your consent, given through the cookie banner.
  • Meeting our legal obligations — e.g. accounting and tax records — basis: legal obligation.

Cookies & analytics

When you first visit, we ask for your consent to analytics cookies via a banner. Until you choose Accept, Google Analytics runs in a restricted, cookieless mode and sets no analytics cookies (we use Google Consent Mode). If you accept, Google Analytics sets cookies (such as _ga) to measure how the site is used so we can improve it. You can withdraw consent at any time by clearing your browser's site data. We also use small amounts of browser storage to remember your cookie choice and to keep you signed in to your member area — these are essential to the site working and don't track you.

Who we share it with

We never sell your personal data. We share it only with the trusted service providers that help us run the gym, who act on our instructions:

  • Stripe — secure card payment processing.
  • Twilio — sending our SMS and WhatsApp messages.
  • Google Analytics — website usage measurement (with your consent).
  • Our email and website-hosting providers — delivering email and running this site.

We may also disclose information where we're required to by law.

Marketing & how to opt out

We only send marketing if you've agreed to it, and you can stop it any time:

  • SMS / WhatsApp — reply STOP.
  • Email — use the unsubscribe link, or just email us.
  • Or contact us at info@warriorcombatgym.co.uk and we'll remove you.

Opting out of marketing won't affect essential messages about your membership or a class you've booked.

How long we keep it

We keep your information for as long as you're a member or in contact with us, and for a reasonable period afterwards to meet our legal and accounting obligations. Enquiry and trial details for people who don't go on to join are kept for a limited period and then deleted. If you ask us to delete your data, we will, unless we're legally required to keep some of it.

How we protect it

This site runs over a secure (HTTPS) connection, card payments are handled by Stripe rather than stored by us, and access to member information is restricted to staff who need it to run the gym.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Have inaccurate data corrected.
  • Ask us to delete your data ("right to be forgotten").
  • Restrict or object to how we use it.
  • Ask us to transfer your data to another provider.
  • Withdraw consent at any time, where we rely on consent.

Children's privacy

We take particular care with children's data. Junior memberships are set up and managed by a parent or guardian, and we only collect a child's information with their involvement and consent.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it last changed.
